GrasPods Executive Committee History


In 2007, a new executive committee was set up to run GrasPods. Several new events and initiatives have been started, including sports teams, a building sustainability committee, and the Jobs In Science Interview Series. Also beginning in 2007, a member of the GrasPods executive is serving as representative on the UBC Graduate Student Society board in efforts to raise awareness of the needs of off-campus students.


To this end, GrasPods will try to be a one-stop shop for moving the ideas of its members into action. This will no doubt take many different forms, but most importantly, GrasPods can act as a centralized home for these ideas, events, and activities. If you would like to volunteer for the society, or have suggestions for speakers to invite, ideas for events, or other questions or comments please contact your GrasPods floor representative or contact us.

In addition to the executive team, each floor has a GrasPods representative. These individuals can answer any questions you may have about GrasPods and bring any ideas you have to the executive team. GrasPods executive positions, with approximate monthly time commitments


President - The President ensures GrasPods fulfills its mandate by ensuring the smooth functioning of the Society as well as representing Graduate and Post-Doctoral trainee interests to BCCRC, BCCA, and PHSA governing bodies. The President is ultimately responsible for ensuring the Society fulfills all its obligations, including those required of societies incorporated under the laws of the Province of BC. The President should be enthusiastic about the mission of GrasPods and therefore often finds themselves involved in a number of special projects. Time commitment: 10-15 hours per month depending on the level of involvement of the President with special projects, such as seminar planning, etc.

VP, InternalThe VP Internal carries out the duties of the president in the event of the president's absence. In addition, the VP Internal is in charge of all manners of communication: keeping meeting minutes, issuing notices of events, and maintaining records and member lists. As the communication hub of GrasPods, the VP Internal is also likely to be involved in many special projects. Lastly, the VP Internal participates in the BCCA Research Seminar (formerly Monday Noon) organizing committee and the BCCA Awards Committee. Time commitment: 10-15 hours per month depending on level of special projects involvement.

VP, External The VP External acts as the liaison between GrasPods and the UBC Graduate Student Society (GSS). The VP External usually holds a seat on GSS Council and represents GrasPods at UBC. The GSS Council seat carries certain obligations within GSS as well, eg. committee membership. Time commitment: 10 hours per month.

VP, Finance The VP Finance acts as the treasurer of the society, keeping financial records, drafting annual budgets, and issuing reimbursements as necessary. In addition, the VP Finance manages GrasPods' two bank accounts, issues regular financial reports to the GSS, and is responsible for filing tax documents with the government. Time commitment: 10 hours per month.

Fundraising Coordinator - The Fundraising Coordinator brings money into GrasPods' treasury. Usually this person liaises with industry partners, CRC admin, and the BC Cancer Foundation to establish the best strategy to obtain financial support for GrasPods' activities. The fundraising head interacts heavily with the President and VP Finance. Time commitment: 4 hours per month.

Academic Coordinator - The Academic Coordinator spearheads the hosting of academic and professional development events by GrasPods. This will include liaising and building upon the relationship GrasPods has with the UBC Faculty of Grad Studies Graduate Pathways to Success program. Time commitment: 6 hours per month.

Publications Coordinator - The Publications Coordinator compiles/edits the monthly newsletters, along with ensuring that advertising material such as posters for events are done up. Time commitment: 6-8 hours per month.

Sports Coordinator - The Sports Coordinator oversees all sports activities run through GrasPods. This usually includes setting up indoor sports for the winter and putting together teams or leagues to join in the summer. Time commitment: 7 hours per month.

Social Coordinator(s) - The Social Coordinator organizes social events such as the annual GrasPods BBQ, movie nights, and ice breakers. Time commitment: 3 hours per month, but a lot more around summer BBQ time.

Webmaster - The Webmaster maintains the website, assists/advises on IT/computing-related issues, and sits on the BCCA IT committee. Ideally has some knowledge of HTML. Time commitment: 3 hours per month.

Sustainability Coordinator - The Sustainability Coordinator's primary goal is to encourage faculty, staff, and students at BCCRC to consider ecological, social, and economic consequences of day-to-day decisions in the laboratory and their personal lives. By introducing small changes through the use of notes, workshops, and posters, the sustainability officer can help turn BCCRC into a more eco-friendly workplace. Time commitment: 2 hours per month.

Post Doc Liaison The Post Doc Liaison will be on the frontline of tackling issues of primary interest to post docs. A number of post doc groups are gaining momentum, including one at the CFRI and one on the main UBC campus, so this person will act as GrasPods' representative to interact with these groups. Naturally, the ideal candidate for this position will be a Post Doc. Time commitment: 2 hours per month, up to as much as you'd like!

Floor Reps - GrasPods Floor Reps act as liaisons between the GrasPods council and the trainees on individual floors. They help distribute posters and notices, and notify the VP Internal of new additions or recent departures of students or post-docs on their floor. Floor reps will also be called upon from time to time to assist in conducting and organizing activities. These positions are typically unelected; email GrasPodsExec [at] bccrc.ca to volunteer as a Floor Rep. Time commitment: 1 hour per month for exec meeting, plus involvement in GrasPods events/activities.


Constitution and Bylaws


On November 27, 2008, in conjunction with GrasPods' third birthday celebration, the membership ratified a new set of constitution and bylaws to guide the society through its next phase of growth. GrasPods is now formally incorporated as a society in BC, which will allow us better access to funds from the GSS, the BCCF, and other donors.
